Instagram DM orders: three ways to register them that work, and one that does not

Three ways to turn a DM conversation into a real order with a number, an invoice and a stock reservation, plus a table of what each way costs you and where the customer drops off.

Instagram DM orders start with a question almost nobody answers: when exactly is one registered? When the customer says they want it, or when the receipt arrives? Tarmeh's answer used to be: in the chat. That broke the day twenty conversations were open and none had a number.

When does a DM order count as registered?

A conversation, however complete, is not an order. An order exists when five things live in one place, outside the chat:

  • A number that you, the customer and whoever packs the parcel can refer to.
  • Line items with their exact variant: cream linen coat, size 40, one unit.
  • A final amount with shipping listed separately.
  • The customer and their address, without scrolling the thread.
  • A status: awaiting payment, ready to ship, shipped.

The way that does not work: the order lives only in the chat

Open the chat, scroll up, find the address, copy it onto the label, move on. It holds to five orders a day. From ten:

  • Two people buy the last unit of a size, because nothing says the first took it.
  • A mid conversation change, actually make it a 38, sinks under ten later messages.
  • A receipt photo arrives and nobody knows which basket it belongs to.
  • At month end orders are found, not counted.

Way one: by hand in the panel, while you read the chat

Chat on the phone, panel on the laptop. You find the product, pick the variant and quantity, enter the customer, and register it. From that moment the order has a number and an invoice, that size and colour is reserved, and a payment link is ready for the same chat.

It works, and for phone orders, walk in customers and special conditions it is the best way. It costs three to five minutes per order, and that is where the customer drops off: at two in the morning, or with thirty chats open, Sara waits.

Way two: an order form link the customer fills in

A link in the bio or the chat. The customer types their name, address, product and size, and the answers land in a file. For you it is the cheapest way.

A form does not understand the chat: it knows neither stock nor today's price, and the customer has to leave Instagram, fill eight fields and spell the product name. Many drop off at the tap on the link. What lands in the file is still not an order: way two ends at way one, with a file in between.

Way three: Instagram DM orders registered by an assistant that knows the catalogue

Sara asks at 20:41: size 40, how much? Six minutes later she has her answer, her basket is closed and she has been asked for an address. Tarmeh was at dinner. Unlike an auto reply bot, this assistant knows the catalogue: how many size 40 are left, today's price, and that Sara has bought before.

Two honest caveats. It needs a real catalogue: if stock per size in the panel is wrong, it will confidently say the wrong thing. And when it does not know, it hands the conversation to you, so a few chats a day are still yours.

The DM basket: what it needs so the order is registered correctly

  • Every line with its variant: satin blouse, lilac, 36, not just blouse.
  • Shipping written separately from the item price.
  • An invoice matching exactly what the customer saw in the chat.
  • Stock for that variant reserved at registration, not after payment.

The order with three fields fewer

A course, a consultation, a lesson: sold in the DM, never shipped. A product is goods or a service, and an order of services alone has no address, no shipping cost and no carrier; a coat and a course together still have all three. The rest is the same: number, invoice, payment link, receipt approval.

The panel does not deliver the course: no video hosting, no streaming, no student progress. It registers and settles the order. Need a home for the course itself? This is not it.

Which way for your business?

Will the assistant register the wrong order?

It reads from your own catalogue and stock, not from guesswork, so as long as the catalogue is current it registers what the customer confirmed. Where it is unsure it hands the conversation to you, and every registered order is visible in the panel before shipping and can be edited.
